Challenge:
The WPHH event required careful coordination across registration, guest access, transportation, drivers, entrance staff, and internal teams. Before the platform, many workflows depended on spreadsheets, phone calls, manual follow-ups, and separate tools. That made it difficult for staff to work from one shared source of truth during a high-pressure live event.
Solution:
MDSolutions built a bespoke event operations platform for the full WPHH workflow. The system centralised guest registration, QR access badge generation, gate access updates, transport requests, driver assignments, notifications, and audit logs.
Dispatchers could manage rides from one backoffice, drivers could use a mobile-friendly interface, and guests could request a ride through secure links without needing an account. Automated WhatsApp, SMS, email, and push notifications helped keep drivers, guests, and staff informed at the right moment.
The platform also supported live driver location tracking, airport flight data, real-time group messaging, and an integrated push-to-talk walkie-talkie for operations teams. Role-based access ensured each user saw only the tools and data they needed.
Outcome:
The client received one connected platform for the event instead of several disconnected processes. Staff gained better visibility, drivers received clearer instructions, access badge handling became faster, and guest transport could be managed with fewer manual calls.
The result was a scalable event management system designed for real-time luxury event operations.
